Itinerary Planning | Overview

This page is for the Operations App.

Introduction

This Knowledge Base article serves as an overview of the Itinerary Planning feature that resides in the left-navigation menu (shown as IP icon.jpg ) within the Operations App . Using this feature, you’ll be able to efficiently assess and group bulk shipments/stops into optimized routes and driver sequences thereby reducing the need for manual routing and dispatch. This feature simplifies your existing workflows by automating tedious and time-consuming routing activities, reducing operational costs, and improving delivery capacity.

This feature conveniently provides the following two specific workflows to meet all your business needs:

  • On-Demand

  • Routed

Note that Itinerary planning is a three-step process & each of the three steps is represented by a specific page. The tool lets you easily navigate back and forth between these steps.

  1. Let’s start with Step-1 (Shipment page), this is where you will need to either select shipments (for On-Demand flow) or routes (for Routed flow) that you would like to include as part of planning the itinerary.

  2. Step-2 (Parameters page) is where you will select the target drivers or the target routes that you want to assign your selections from Step-1 to. In this step, you can also set the planning parameters that would steer the execution of your itinerary planning.

    1. In case of On-demand flow, select target drivers for the selected shipments from Step-1

    2. In case of Routed flow, select target routes for the shipments that belong to the selected routes from Step-1.

  3. After you have selected the target drivers/routes & configured the planning parameters in Step-2, you are all set to run the planning & view the results of your itinerary planning on Step-3 (Results page). This is where you review the results with the ability to make any manual adjustments before finalizing the plan.

In Step-2, In case you are not yet ready to select target drivers/routes for the selected shipments/routes, you can use placeholder drivers or placeholder routes to assign your selected shipments/routes to.

 

Navigating to & within the Itinerary Planning Home Page

You can get started by clicking on the IP - menu icon.jpg icon on the left sidebar (shown below in red box)

Once you’re on the Itinerary Planning Home page, you will see two distinct tabs on the right section of the page where you can select one of the two available flows (On-demand or Routed). The On Demand tab will be auto-selected by default & displayed in greenondemand tab - selected.jpg.

Note the Progress Stepper progress stepper.jpg located at the top right-hand corner of the page (above image). As you step through the process, this Progress stepper will always show the current step highlighted in green.

Just below the Progress stepper, you can see a Shipment Selected section that shows the total no. of shipment you have selected and the total number of available shipments.

Below the Shipments Selected box is a set of icons that could assist you in various ways:

    • For On Demand flow : this allows you to search for specific shipments from the shipments list using various search parameters via the search dropdown. You can search using origin address, Origin City, Origin Zip, destination address, Driver Id, Driver name and more.

    • For the Routed flow: this allows you to search for specific routes from the route list using various search parameters via the search dropdown. You can search using Driver Id, Driver name, Route Id and more.

  • gear.jpgSettings Icon allows you to adjust columns that you would want to see on the routes grid. You can also select the columns that you want to sort with.

  • Truck.jpg Truck Icon lets you view and select the fleets that you would like to see the shipments or routes for.

  • IP - icon drivers.jpg Driver Assignment (only available for On Demand flow) icon lets you select assigned, unassigned or both type of shipments. You will see this only for On Demand flow.

Note that you will always be able to see an interactive map on the left section of the page. Any shipments or routes that you choose to pin via the table view (right section of the page) can be seen on the map view.

Note that the On-Demand tab shows you the list of shipments while the Routed tab shows you the list of routes.

On-Demand Flow

Step-1 : Select Shipments

Step-1 corresponds to the “Shipments” page. You can initiate this workflow by selecting the On-Demand tab as shown in the above image.

You will now see the list of On-Demand shipments (assigned & un-assigned) on the main grid. You can select one or more shipments that you would like to include in the itinerary planning by clicking on the checkbox located on the left of each shipment (see image). You can also use the pin icon situated next to the checkbox to show the shipment on the map section of the page. Once you have selected all the required shipments, you can navigate to the next step (Step-2) by clicking on the “Next Step” button situated on the bottom right corner of the page.

Note that the Shipments Selected box on the top right always shows you the number of currently selected shipments and the Total shipments.

Now that you have a fair idea of the On-Demand page structure for Step-1, go ahead and select the shipments that you would want to select for the IP & proceed to the next step.

Any shipments with a status of “At Origin” & subsequent statuses will not be shown here.

Step-2 : Select Drivers & Set Parameters

In this step, you will be allowed to set a number of placeholder Drivers, choose actual Drivers, or a combination of both. When using existing Drivers, their current workload will be considered for selected Drivers. You can review, adjust, and assign placeholder routes on the Results page. Note how the stage indicator on the top right side of the page now shows the current step in Green.

Using placeholder Drivers is optional and this can be used in case you are not yet ready to select the actual Drivers at this time.

At the top of the page, you will find the section to add placeholder drivers if you wish to do so. You can also see the number of shipments selected and the total available shipments.

The Drivers grid shows some icons on the top. Use the search icon to search the list using various parameters. You can also filter the list based on Driver status and Driver fleets if required.

Use the checkbox to select one or more Drivers from the list and use the map icon to see the Driver location on the map section of the page.

The main grid shows you the list of all available Drivers that you may use to assign the selected shipments in Step-1 part of planning your itinerary. You may use one or more Drivers from this list.

Note the following sections on this page that allow you to set various parameters that steer your IP results:

  • Max Number of Shipments

    • This allows you to set a max limit on the number of shipments that may be assigned to a single Driver. Leaving this field blank indicates that there is no limit on the number of shipments that could be assigned to a Driver.

  • Driver Pay Lock

    • This option allows you to decide how the system should handle on-demand shipments that have their driver pay locked. You may choose to unlock the driver pay before dispatching or keep it locked.

  • Time Frame

    • This option allows you to set a start and end for all work to be completed within

  • Route Optimization Setting

This is a global configuration that will apply to both the itinerary being currently planned and also all subsequent basic route optimization actions to ensure that the settings you select during the planning are also used for any re-optimization on the same routes. 

Shortest Distance or Quickest Route - you can set what priority is more important to them when it comes to optimization. 

Max Processing Time - This allows you to decide how long the optimization algorithm is allowed to run before presenting the most efficient routing results. 

Service Time is the amount of time you would like the optimization to allot for each stop the driver has to complete

Grace Time is how many minutes a driver is allowed to be late in order to allow for a better optimization result as a whole.

Auto Re-optimization allows you to set specific routes to trigger automatic re-optimization whenever there are changes to route sequence completions, route stop deactivation, or any other action that will change the ETA for the remaining stops by over 15 minutes.

When you have selected the Drivers & set all the parameters on this page, you can run the IP by clicking on the “Get Results” button situated at the bottom right side of the page. This will take you to the third and the final step of your Route flow.

In case GPS data is not available for any of the selected drivers, the system will popup a warning message and allow you to proceed further.

Step-3: Access, Adjust and Finalize your Results

Step-3 corresponds to the “Results” page. Here you can access the results of the IP run and make any manual adjustments as required. This page is divided into three separate sections:

  • The left section of this page is the map view. This shows the pinned driver stops

  • The upper right section of the page is the Table view. This shows the list of shipment groups which could be one of the following:

    • Exceptions

      • This holds all shipments that could not be assigned to any shipment group (Placeholder or Actual Drivers)

    • placeholder Drivers

      • This holds one or more shipments assigned to this shipment group. This placeholder group must now be assigned to an actual Driver before the IP could be saved.

    • Actual Drivers

      • This holds one or more shipments assigned to this driver. You may chose to un-assign this shipment group from the existing driver and re-assign to another driver.

  • The bottom right section is the line view which shows a visual view of the shipments assigned to the various shipment groups. You can re-assign shipments between shipment groups by dragging shipments from one shipment group and dropping another via this visual view.

You can expand any shipment group by clicking on the down arrow located at the left of each shipment group. When expanded, the system shows the list of all individual shipments assigned to this shipment group. When you scroll to the right of the grid, you can find the … icon which provides the options to view or move the shipment to another shipment group.

You must assign all shipment groupings to actual Drivers before you are allowed to save the plan.

When you have completed your assessment of the results and have made all the manual adjustments, you are ready to save the plan by clicking on the “Save Plan” button located on the bottom right of the page. Upon successful save, you would have completed your IP journey & you will be navigated to the first page of the IP.

Routed Flow

Step-1 : Select Routes

Step-1 corresponds to the “Shipments” page. You can initiate this workflow by selecting the Routed tab on the IP landing page. Note how the Progress Stepper on the top right side of the page now shows the current step in Green.

First thing you need to do in this step is to select a Post Date by either entering it manually or clicking on the calendar icon and selecting a Post date from the calendar. Based on the selected Post date, The system shall show you the list of all posted routes. Both assigned and un-assigned routes will be shown in the grid.

Note that you cannot select a post date in the past.

Now that you can see the list of Routes (assigned & un-assigned) on the main grid, you can select one or more Routes that you would like to include in the itinerary planning by clicking on the checkbox located on the left of each Route (see image). You can also use the pin icon situated next to the checkbox to show the route on the map section of the page.

Note that the Shipments Selected box at the top right always shows you the number of currently selected stops and the total stops.

Once you have selected all the required Routes, you can proceed to the next step (Step-2) by clicking on the “Next Step” button situated at the bottom right corner of the page.

Any Stop with a status of “At Origin” & subsequent statuses will not be shown in the list.

Just below the box that shows the Shipments selected, you will find a set of icons that would allow you to perform a variety of functions:

The icons8-search-50.png search icon allows you to search specific routes from the list of displayed routes using various search parameters. You can view the list of searchable items from the search dropdown.

The gear.jpgsettings icon allows you to adjust columns that you would want to see on the routes grid. You can also select the columns that you want to sort with.

The Truck.jpg truck icon lets you view and select the fleets that you would like to see the routes for.

To exclude stops from a route, you can also click on exclude stops.jpg Tune icon (shown in the below image) to view the list of individual Route stops for a route as a popup page. Use the checkbox provided with each Route stop to mark the shipments that you would like to exclude from the planning for a specific route. When you have selected shipments for exclusion, Save your selection on the Popup page & return to the main page for Routed flow. You can now see the number of excluded shipments on the main page for Routed flow.

Note that the Exclude Route stops popup provides you the ability to search for shipments using various parameters. Fill in a search value & specify the column to search for using the dropdown provided in the search bar.

When you are done with selecting the routes for the IP, click on the “Next step” button to proceed to the next step of the flow. The system will show you a popup asking for confirmation to proceed to the next step.

Step-2: Select Actual/Placeholder Target Routes & Set Parameters to Steer the IP Run

Step-2 corresponds to the “Parameters” page. In this step, you will be allowed to set a number of placeholder Routes, choose actual Routes, or a combination of both. When using existing routes, the current workload for the selected Routes will be considered. Note how the Progress Stepper progress stepper.jpg on the top right side of the page now shows the current step in Green.

Beneath the Progress stepper, you can see the Shipments Selected box that shows you the number of stops selected and the total available stops.

At the top of the page, you will find the section to add placeholder Routes. You can use placeholder routes in case you are not yet ready to select the actual Routes at this . You can review, adjust, and assign placeholder routes to actual routes in Step-3 (Results page).

The main grid labeled “Select Existing Routes” shows you the list of all available routes that you may use as the target routes to plan your itinerary. Use the checkbox besides the route id to select a Route from the list and use the map icon to see the route on the map section of the page.

You can see a number of settings/parameters below the grid that shows the list of routes:

Max Number of Shipments

Many carriers use a RO Settings Configuration that rarely gets changed, but if changes ever do need to be made, you have quick and easy access to make those adjustments without leaving Itinerary Planning.

Once you have setup the necessary Route optimization settings, you are good to run your itinerary planning by clicking on the “Get Results” button. This will take you to the third and the final step (Step-3) of your route flow where you will be able to view the results of the IP.

Step-3: Assess, Adjust and Save your Results

Step-3 corresponds to the Results page which is divided into three main sections:

The left side of the page represents the first section (encased within red borders below) of the page & is referred to as the Map View. This shows the routes and their stops when they have been pinned via the Table View or the Timeline View.

The top right side of the page represents the second section (encased within red borders below) & is referred to as the Table View. This section shows the target shipment groupings selected in Step-2. Shipment groupings represent the target routes for which the itineraries have been planned. Shipment groupings could either be actual routes or placeholder routes based on the selections made in Step-2. By default, actual routes are assigned to themselves while placeholder routes are not assigned to any actual route & as such show the assignment as “No Assignment”. You must ensure that all shipment groups have been assigned to an existing route & no shipment grouping remains un-assigned. You can also choose to re-assign a shipment grouping to a different route than the one assigned to it by default.

You can also expand a shipment group by clicking on the carrot icon.jpg icon located next to the shipment grouping and this will open up the list of all individual Route stops that have been assigned to this route.. This will enable you to view the list of all individual stops associated with this shipment grouping. Any new shipments that have been added to an existing route will be tagged as New route stop.jpg icon on the shipment list in the Table view.

Any shipments that could not be successfully assigned to any of the target routes or a placeholder route will show in the exceptions shipment group.

 

You can also move one or more stops between the shown shipment groups.

The third section (encased within red borders below) represents the bottom right side of the page & is referred to as the Timeline View. This section shows you a more graphical view of the routes and their shipments. You can easily drag a stop from one route and drop it onto another route (when more than one routes exist).

Once you are satisfied with the results and the route assignments, you are ready to save the plan. Upon saving the plan, the system will show a success message and navigate you back to the IP Home page.

Before you start using the Itinerary Planning feature, you will need to signup for the Itinerary Planning via the Marketplace Home page in the Operations app.
