Overview | Actions and Labels
This page is for the Operations App. Full use of Actions requires Operations 25.8 and Driver 3.9 or newer.
Introduction to Actions and Labels
Actions are used to allow granular enforcements, requirements and/or restrictions to different record levels based on Labels. Currently there are 3 actions that can be configured: Driver Early Arrival Restriction, Pickup Prerequisite for Delivery, and Proof of Delivery Requirements.
Labels configured for these Actions can be added to any record that has a Label field which includes: Customers, Address, Human Resource, Drivers, Order Types, Contract Stops, Recurring Shipments, On Demand Shipments and Route Shipments.
Once you have the Action configured on the appropriate record, whenever a shipment is made where that record is involved, the Label will automatically get added to the shipment. As an example, if I have a Signature Required Proof of Delivery Requirement Label configured and listed on my 4 Hour Order Type, whenever that 4 Hour Order Type is used, the Signature Required Label will be automatically added to the shipment.
Driver Early Arrival Restriction allows you to restrict a driver from being able to interact with a stop on CXT Driver until it is within it’s earliest time window (the ReadyFromTime on an On Demand Shipment and the Min time on a Route Shipment). This is helpful in order to prevent drivers from attempting to complete shipments early.
Pickup Prerequisite for Delivery allows you to restrict a driver from interacting with the delivery portion of an On Demand Shipment before the Pickup portion has been completed.
Proof of Delivery Requirements allows you to set Signature, POD, VPOD and Camera Only VPOD requirements. This allows you to customize which requirements are necessary on a more granular level.
Note, access to the Actions tab is permission-based. If you do not see the option or if you are unable to edit an action or create a new action, navigate to Maintenance > Users and make sure your user has a check in both Action and Edit Action.
Note, access to the Labels module is permission-based. If you do not see the option or if you are unable to edit an action or create a new action, navigate to Maintenance > Users and make sure your user has a check in both Maintenance Functions > Labels and Maintenance Functions> Labels> Edit Labels.
You can use the same Label for multiple different Actions. For example, you can configure the Label “Standard” to be used for Driver Early Arrival Restriction, Pickup Prerequisite for Delivery and Visual Proof of Delivery - Camera.
Although you can use the same label for multiple Actions, you CANNOT use the same Label on the same Actions. For example, you could not use the Label “Standard” for Signature Requirement AND Camera Only VPOD as those are both Proof of Delivery Requirement Actions.
Navigating to the Labels Tab
You can get started by going to the Maintenance tab in the sidebar > Labels
Once you’re in the Labels module, you can use the Search bar to look for specific Labels, filtering by description.
You can also use the icons in the top right to Edit Layout, swap to Table View or swap to Card View, respectively.
Now, you can use either the New Label button in the top right corner to make a brand new Label OR select an existing Label for editing.
Creating and Editing a Label Record
Now that you have a Label record open, you can begin entering in key information.
You will need to start with a Description that will serve as the Label.
To Deactivate a Label, you will need to navigate to the three dot menu in the bottom left and select Deactivate
Pro Tip! You can create a new Label from the Label field on any Action, Customer, Address, Human Resource, Drivers, Order Types, Contract Stops, Recurring Shipment, On Demand Shipment and Route Shipment record. Simply type the Label you would like to create in the Label field and hit [ENTER] on your Keyboard. A popup window will appear confirming you would like to Create the new Label.
Navigating to the Actions Tab
You can get started by going to the Actions tab in the sidebar.
Once you’re in the Actions tab, you can use the Search bar to look for specific Action record, narrowing the search by Action Type, Description, Label and Enforcement.
You can also use the icons in the top right to Edit Layout, swap to
Table View or swap to
Card View, respectively.
You can use either the New Action button in the top navigation bar to make a brand new Action record OR select an existing Action record for editing.
Creating and Editing an Action Record
Now that you have an Action record open, you can begin entering in key information.
Any fields with an * are mandatory, so you’ll need to fill these out in order to save the Action.
Start by selecting the Action Type, which is used to specify what this Action is for.
Driver Early Arrival Restriction
Pickup Prerequisite for Delivery
Proof of Delivery Requirements
The configurations you can select will be different depending on the Action Type.
Driver Early Arrival Restriction
Driver Early Arrival Restriction allows you to restrict a driver from being able to interact with a stop on CXT Driver until it is within it’s earliest time window (the ReadyFromTime on an On Demand Shipment and the Min time on a Route Shipment). This is helpful in order to prevent drivers from attempting to complete shipments early.
For Driver Early Arrival Restriction, you will need to start with a Description to make it clear what this Action is for.
Next, you will need to select which Label you will want to use for this Action.
Then you can choose the Enforcement Option
Ignore - This will ignore the enforcement of the Early Arrival Restriction. Drivers will be able to complete stops at any time with the Label present. You may want to set the enforcement to Ignore in the event you want to deactivate or temporarily disable the enforcement without deleting it completely.
Enforce - This will enforce the restriction. Drivers will be unable to interact with stops before the earliest time of the shipment.
If On-Demand, the apply the enforcement to allows you to specify the restriction for On-Demand Shipments. Your options are:
Delivery Only
Pickup Only
Pickup and Delivery
Priority allows you to set the priority level to determine which Label takes effect when multiple Labels for the same Action are present. A higher priority overrides lower ones.
Priority must be a number greater than 0. 1 is the Highest Priority.
Early Grace Time (minutes) allows you to set a grace period before the earliest time on the Shipment. As an example, if I set my Early Grace Time as 5, then the driver will be able to interact with the stop 5 minutes before the earliest time on the shipment.
Pickup Prerequisite for Delivery
Pickup Prerequisite for Delivery allows you to restrict a driver from interacting with the delivery portion of an On Demand Shipment before the Pickup portion has been completed.
For Pickup Prerequisite for Delivery, you will need to start with a Description to make it clear what this Action is for.
Next, you will need to select which Label you will want to use for this Action.
Then you can choose the Enforcement Option
Ignore - This will ignore the enforcement of the Pickup Prerequisite for Delivery. Drivers will be able to complete the Delivery portion of an On-Demand Shipment without completing the Pickup with the Label present. You may want to set the enforcement to Ignore in the event you want to deactivate or temporarily disable the enforcement without deleting it completely.
Enforce - This will enforce the restriction. Drivers will be unable to complete the Delivery portion of an On-Demand Shipment until the Pickup portion has been completed.
Priority allows you to set the priority level to determine which Label takes effect when multiple Labels for the same Action are present. A higher priority overrides lower ones.
Priority must be a number greater than 0. 1 is the Highest Priority.
Proof of Delivery Requirements
Proof of Delivery Requirements allows you to set Signature, POD, VPOD and Camera Only VPOD requirements. This allows you to customize which requirements are necessary on a more granular level.
For Proof of Delivery Requirements, you will need to start with a Description to make it clear what this Action is for.
Next, you will need to select which Label you will want to use for this Action.
Then you can choose which POD Type to use:
POD - Requires the capture of the POD/Signee field on the Shipment
VPOD - Requires the capture of a Visual Proof of Delivery. This can be done with either a picture taken from the camera, or a picture uploaded from the Gallery of the Driver’s device.
Camera Only VPOD - Requires the capture of a Visual Proof of Delivery. This can ONLY be done with a picture taken from the camera of the driver’s device.
Signature - Requires the capture of a signature on the driver’s device.
You can only use one POD Type per Label. If you wanted to require Camera Only VPOD and Signature, you would need to configure separate Actions and use different Labels.
You can also set up Customer level Proof of Delivery Requirements on the Customer Record. Please note that these requirements would be in place for every shipment created for that Customer.
Removing a Label from a Shipment
There may be instances where you want to remove a label that was automatically added to a shipment. As an example, you may have an order type where 99% of the time you would like to have a Signature Required, but in a one-off case, you do not want the shipment to have a Signature Required.
To remove a Label from a shipment on the shipment form, locate the label you would like to remove in the bottom left of the form. Click on the X on the label you would like to remove. Once removed, click on the Save and Close button on the bottom right of the form.
Pro Tip! You can manually add a label to a Shipment by click on the green Label button in the bottom left of the shipment form.
Labels and Reporting
Labels can also be used to tag Customers, Address, Human Resource, Drivers, Order Types, Contract Stops, Recurring Shipments, On Demand Shipments and Route Shipments so that users can run reports using the Find Query and search based on the tagged Labels.
Example of Configuring a Label and Action
In this example we will go through the steps of configuring a single Label that will enforce a Driver Early Arrival Restriction as well as a Camera Only VPOD and we will apply it to an Order Type
To get started, we are going to Navigate to the Actions menu on the left hand sidebar.
You can use the same Label for multiple different Actions. For example, you can configure the Label “Standard” to be used for Driver Early Arrival Restriction, Pickup Prerequisite for Delivery and Visual Proof of Delivery - Camera.
However, you CANNOT use the same Label on the same Actions. For example, you could not use the Label “Standard” for Signature Requirement AND Visual Proof of Delivery - Camera as those are both Proof of Delivery Requirement Actions.
Next we will click on the New Action button in the top navigation bar and it will open up a New Action card.
For Action Type we will select Driver Early Arrival Restriction. For the Description we can type “Practice Early Arrival Restriction”.
Since we know from the Pro Tip! that we can create a new Label directly from the Label field, we are going to type “Practice Label” in the Label field.
We will then hit [ENTER] on our keyboard and confirm that we would like to create the new Label.
Next we will set Enforcement to Enforce so we can make sure the driver will be prevented from completing a shipment early. Then we will set the If On Demand, then apply the enforcement to to Pickup and Delivery.
We will then set the Priority to be '2' and we will set the Early Grace Time (minutes) to be 0. This way, there will be no additional buffer time outside of the earliest time listed on the shipment.
Finally, we will click on the green save button in the bottom right of the card.
Great! We just finished the first Action, now let us set up the Proof of Delivery Requirements. We should still be on the Actions menu, so we can start by select New Action in the top navigation bar.
For Action Type we are going to select Proof of Delivery Requirements. Next for the Description we will type “Practice Camera VPOD”.
For Label we will put in “Practice Label”. For POD Type we will select Camera Only VPOD and then we can click on the green save button in the bottom right.
Now that we have our two Actions created and assigned to the “Practice Label”, we need to set that Label on the Order Type we want to enforce these Actions on.
We will Navigate to Maintenance on the left hand sidebar > Order Types. We will then click on the Order Type we would like to add the Label to.
On the General Tab of the Order Type card we will find the Label field and we will type “Practice Label”. Finally, we will click on the green save button in the bottom right of the card.
Whenever this Order Type is used going forward, it will automatically apply the “Practice Label” to the shipment which will have the Driver Early Arrival Restriction as well as the Camera Only VPOD Actions.
