How to Set Customer/Human Resource Driver override pay chart

When using driver pay overrides, it is strongly recommended that they are set up for all 3 (base rate, item, and surcharge) rating areas and the On Demand % on the human resource record be set to 100% to ensure the driver is paid 100% of the pay that is set up on the driver pay override.

If any Base Rate, Item, or Surcharge override is assigned to driver pay, either at the human resource level or the customer level, then the driver pay is completely dependent upon the rate chart assigned and any manual order overrides made to the order rates will not affect any aspect of the calculated driver pay amount. When the driver pay override is for all categories (Base, Item, and Surcharge), the driver pay will be based on the driver pay rate charts indicated in the fields. If the driver pay override is used on 2 or less rating areas (Base, Items, or Surcharges), driver pay will come from the override chart(s) specified, and the driver pay without an associated pay chart will be based off the regular rate chart for the customer using the Driver Pay % calculation. If an order rate is manually overridden, the driver pay will not be affected and will continue to be based upon the percentage of the customer's rate chart, not the manual override. 

Example

If the Surcharge driver pay override is set up and Base and Item driver pay overrides are not, then the Surcharge driver pay will be based off the override chart, while the Base Rate and Item driver pay will be based off the regular rate chart for the customer using the Driver Pay % calculation.

Enable Driver Pay Charts

Driver pay charts can be used at the individual customer level, or driver human resource level.  Before you can start to use override pay charts you will need to make sure they are enabled by going to Options in the toolbar, then the Misc tab. See Global Options

Customer Specific Driver Pay Charts

Setting up an override pay chart on the customer level will allow you to pay the driver based off a different rate then what you are charging the customer.

  1. Enable driver pay charts.

  2. Set up a new rate chart group for Base Rates, to be used for calculating driver pay.  Add Item and Surcharge charts with applicable values for the pay style needed.  Driver pay charts are rate charts that have been assigned to a Human Resource or Customer, to be used to calculate pay values instead of customer rate values. See Base Rate Charts - New / Edit Base Rate Chart

  3. Go to Maintenance > Customer.

  4. Find and double-click on the customer you want to set up with override pay charts.

  5. Go to the Accounting tab.

  6. In the "Override Pay Charts" section 

    1. Use the down arrow to select the type of chart. Select from "Base", "Item", or "Surcharge".

    2. Enter the chart ID. Once you have entered a value into the override pay chart field, there will be a checkmark next to the field name to indicate a value has been entered.

  7. Optional. Set the Driver Override % to 100 to ensure that HR Commission Percentage is not considered.

Human Resource Specific Driver Pay Charts

This will allow you to specify a pay rate for a specific driver that will not affect the other drivers or customer charges. 

Example

You wanted to pay a driver a flat rate amount for each job they run, you would set up a flat rate base rate chart to use as the override pay chart on the Human Resource form.  This would allow you to charge the customer based off of a zone rate, or mileage amount, but pay the driver a flat rate, or another zone to zone, or mileage rate.

  1. Enable driver pay charts.

  2. Set up a new rate chart group for Base Rates, to be used for calculating driver pay.  Add Item and Surcharge charts with applicable values for the pay style needed.  Driver pay charts are rate charts that have been assigned to a Human Resource or Customer, to be used to calculate pay values instead of customer rate values. See Base Rate Charts - New / Edit Base Rate Chart

  3. Go to Maintenance > Human Resources

  4. Find and double-click on the human resource record for the driver you want to set up with override pay charts.

  5. Go to the Advanced tab.  

  6. Set up the "Pay" section

    1. Use the down arrow to select the type of chart. Select from "Pay Chart", "Item Pay Chart", or "Surcharge Pay".

    2. Enter the chart ID. Once you have entered a value, there will be a checkmark next to the field name to indicate a value has been entered.

    3. For the override pay charts to work properly and rate solely based on the pay chart values, a chart ID must be entered into all three of the available fields ("Pay Chart", "Item Pay Chart", and "Surcharge Pay").

      Example

      If an override pay chart has chart IDs for the "Pay Chart" and "Item Pay Chart", but "Surcharge Chart" is left blank, the driver pay % amount from the customer record will be used in calculating the driver pay for all three fields. If there are chart ID values in all three fields, the driver pay will be based solely on what is listed in the driver pay charts.
