How to Process Credit Cards

To process credit cards in the Operations App you need to set it up in the global options Accounting tab. See Setting Up Credit Card Processing.

Before you can process credit cards, the credit cards must be authorized from the invoice center for invoices or on an order for a one-time payment or. See How to Authorize a Credit Card

Quick Tip: You do not need to run another authorization if rating on an order changes. A check to make sure that the authorization amount is the same as the current order price is done prior to processing. If the amount is different, the credit card will be reauthorized using the same token to update the amount to be charged.

How to Process Credit Cards

  1. Go to the Action menu, and select Process Credit Cards.  

  2. Select the order(s) and/or invoice(s) you want to process. All orders that authorized a credit card will appear here. You can click on an order to view the status of the order prior to settling the charges. Clicking on the Order/Invoice ID button will open the record. If an order rate is edited, it is recommended to close this screen and reopen to refresh the charges. 

  3. Click Process Selected. Cards will now be approved or declined in the Status field.

Quick Tips

  • If an authorized order is not showing up as expected, check if the order has been rated and/or if the order needs to be verified (based on the order’s order type Require delivery before invoicing field).

  • If there are any errors after trying to process credit cards, it is best to contact Plug'n Pay first to locate the processing error. CXT Software cannot answer processing error qiestions.

How to Print a Credit Card Transaction Summary 

After Processing Credit Cards

You can print a report to show all processed cards/invoices to reconcile credit card batches in your company bank account. From the Processing Credit Cards form, select Print Report.

From Processed Credit Card Transaction Reports

  1. Go to Action > Processed Credit Card Transactions.

  2. Enter the Begin Date and End Date.

  3. Click Apply.

  4. Click View Report.

How to Delete Credit Card Authorization in the Operations App

  1. In the top main menu go to ActionsProcess Credit Cards.

  2. Select the orders you would like to process.

  3. Click the Delete Selected button.
